Lawful processing under the Protection of Personal Information Act.

1. Responsible party

The Verified Conduct Registry is the responsible party as defined in the Protection of Personal Information Act, 2013. Contact details appear at the end of this notice.

2. Lawful basis for processing

Processing is carried out to protect the legitimate interests of the responsible party and of the accounts using the registry for lawful tenant and guest screening, and to comply with obligations imposed by law. Reporting parties warrant a lawful basis for every submission they make.

3. Conditions we apply to every record

Identity of the reporting party is confirmed; the person named is given written notice; a right-of-reply window is honoured in full; a trained reviewer assesses the evidence; and an evidence grade is assigned against the published rubric. No record is published on an automated decision alone.

4. Data-subject rights

You may request confirmation of whether we hold information about you, request a copy of it, request correction or deletion of information that is inaccurate, irrelevant, excessive, misleading or unlawfully obtained, and object to processing.

5. How to make a request

Send your request to the registered address or telephone the number below. We log every request with its lawful purpose and respond within the period allowed by the Act. If you are not satisfied, you may lodge a complaint with the Information Regulator of South Africa.

6. Retention and expiry

Records are removed once the purpose for holding them falls away. Expiry is enforced through the platform's data-lifecycle controls, and any early removal by an administrator requires a recorded reason and a second approval.
