1. Who is responsible
The Verified Conduct Registry is the responsible party for the personal information processed on this platform. Our registered address and telephone number appear at the end of this policy.
2. Information we process
Account details for landlords, agents, hosts and staff; identity-verification records for reporting parties; the content of submitted conduct records including supporting evidence; notices sent and responses received; and search and administrative activity logs.
3. Why we process it
To verify the identity of reporting parties, assess evidence against published standards, notify the people named in records and record their replies, provide lawful screening searches to entitled accounts, and maintain an auditable record of every administrative action.
4. Who can see records
Published records are visible only to accounts entitled to search the registry, and only for a stated lawful screening purpose. Every search is logged. Evidence files themselves remain private to the submitting account and to reviewers.
5. Retention
Records are retained only for as long as the purpose requires, after which they expire and are removed. Audit entries are immutable and retained for the period required to demonstrate lawful processing.
6. Your rights
You may request access to the information we hold about you, ask for it to be corrected, object to processing, or lodge a complaint. Requests are logged and answered by a person.
7. Security
Access is role-based, privileged actions require a recorded reason, and elevated sessions are time-limited and written to the audit trail.
